Administrative & Event Assistant
The ideal candidate will be hard-working, flexible, and able to undertake various support tasks.
Must possess excellent organizational, time management, and communication skills.
This person will be comfortable working remotely and in the Oregon City office as scheduled, with close attention to detail.
This person will report directly to the Director of Community Outreach / Operations (Tracy Buckner)
Job Classification and Work Schedule:
Contractor Position
Contractor Stipend of $18 per hour paid monthly.
Contractor is responsible for all local and state taxes.
Flexible Schedule: Up to 20 hours per week, not to exceed 1040 hours in the year.
Hybrid remote work and in the Oregon City office as scheduled
$50 cell phone stipend paid monthly
Responsibilities:
Event Support (currently 2 events per year: April + Other):
Assist in securing donations for all of our fundraising events
Assist in list building and guest management
Manage donor acknowledgments in a timely manner
Data Entry - Support Event Manager with item descriptions, gathering images, and entering into Event Software
Pulling items together into packages and making sure all items numbers correlate with what is in auction software.
Helps with item pickup items from donors
Maintains accurate guest list spreadsheet from those who register in auction software
Day of Event - assists with all set up and break down duties; puts items on display with correlating Table Top displays; makes sure guests leave with items and information (works with item pick-up volunteers to ensure accuracy)
General:
Support the Operations Director with basic administrative tasks as necessary
Attend Staff Meetings when appropriate
Goes to bank, makes deposits weekly
Manages NSF Shop via Shopify
Shipping
Keeps swag updated and in stock
Pulls monthly reports to be enterend into DP
Preparing app activity reports (Shopify, Auctria, etc) for Donor Perfect importing
Membership:
Help grow and maintain NFS membership with a focus on increasing diversity, equity, and inclusion in our community.
Update and manage membership perks, including shipping perks
Conceptualize and activate donor-giving campaigns throughout the year (max. 3 campaigns)
Assist in moving former giving platform donors to DonorPerfect
Short Term Goals:
Auction Support - Biggest Priority!
Goals for 2025:
Help bring new donors in through various giving opportunities
Help grow email subscriber list
Incentive for these subscribers - monthly prize drawing or other ideas
Conversion of annual members to monthly membership
For annual members at $50 or less
Build new business donor relationships
Additional Comments:
This is a part-time, entry-level position
Must be able to start work immediately
Because of the sensitive nature of our DonorPerfect database, all information within the organization will remain confidential.
Must be familiar with Google Workplace and Microsoft Office Suite
Must be able to lift 50lbs on rare occasions
